Tick-Box Email Generation: Select Missing Items and Generate One Broker Email in Seconds

No more typing the same "please provide loss runs" email for the hundredth time. Tick the boxes. Click generate. Review. Send.


The Problem

Underwriters spend 15-20 minutes per submission writing missing information request emails. They copy the insured name, paste the submission reference, list the missing items, add the deadline, and hope they didn't forget anything. Multiply by 30 submissions a week, and that's 8+ hours of email drafting — for something that should take seconds.

The InsightUW Approach

InsightUW puts a checkbox next to every missing item on the checklist. The UW ticks which items they need, clicks "Generate Email," and gets a fully populated email draft — ready to review, edit, and send.

What the Email Looks Like

The system builds the email dynamically from the selected items:

Per-Item Correspondence Logging

When the email is sent, InsightUW logs the correspondence on each selected item individually. This means:

  • The "Cyber Liability Application" item shows: "1 follow-up sent"
  • The "Cyber Security Supplement" item shows: "1 follow-up sent"
  • Each item's correspondence trail independently tracks when it was requested

LOB-Specific Example

Cyber for NovaPay Technologies:

NovaPay's submission has 6 items on the checklist. 3 are received (SOC2 Report, Incident Response Plan, Network Diagram). 3 are missing. Jennifer Walsh ticks all 3 missing items:

  1. [x] Cyber Liability Application (REQUIRED)
  2. [x] Cyber Security Supplement (REQUIRED)
  3. [x] 3-Year Cyber Loss History (REQUIRED)

She clicks "Email Selected (3)" → reviews the auto-generated email → adds note "Need completed before May 1 binding deadline" → clicks Send.

Gallagher receives the email. Jennifer is CC'd. Each item's follow-up count increments to 1.

What This Means for Underwriters

  1. Seconds, not minutes — select items, generate, review, send. Under 30 seconds for a complete follow-up
  2. Nothing forgotten — the checklist is the email. If it's ticked, it's in the email
  3. Per-item tracking — each item independently tracks how many times it's been requested
  4. Editable before send — UW always reviews and can modify subject/body/recipients
